Post Title: Conference Services Assistant
Liaises with: Client, Client Services Manager, LRS Team, LRS Operations Manager, Facilities Management Team, Service Partners, and Key Stakeholders.
Job Role: The Conference Services Assistant is responsible for assisting with room setup changes, equipment adjustment and assembly, and providing support to the reception and facilities teams as needed. The ideal candidate will possess excellent communication skills, be detail-oriented, and demonstrate a high level of professionalism in their work.

Operational Skills
• Technical Knowledge: Familiarity with conference room audio visual (AV) systems, Microsoft Office 365, Microsoft Teams, Zoom and Webex collaboration platforms.
• Customer Service: High standard of customer service delivery and administration.
• Experience: Previous corporate customer service experience is preferred.

Responsibilities:
Client Care
• Assist with room and furniture changes, including moving and rearranging furniture and equipment as needed.
• Consult with clients regarding their AV requirements and room setup needs.
• Adjust and assemble equipment, including setting up and troubleshooting workstations.
• Set up AV for meetings as requested and provide support when needed.
• Respond to reception and facilities requests, including delivering supplies and addressing general conference services-related issues.
• Maintain a professional and courteous demeanour when interacting with employees and visitors.
• Ensure that all work is completed in a timely and efficient manner.
• Maintain a safe and organized work environment.
• Perform other duties as assigned.
• Cover the reception desk on an ad hoc basis.
• Provide exceptional customer service to both internal and external clients.
Teamwork and Communication
• Assist with any ad hoc duties as required.
• Communicate effectively with peers and the management team, displaying accuracy and attention to detail in both verbal and written communication.
• Coordinate with laundry services for cleaning catering table covers and schedule pickups.
• Liaise with external support teams for any AV issues and schedule AV maintenance.
• Maintain a strong awareness of business activity and communicate all updates with team members.
• Coordinate with conference floors and Lobby Team to ensure the smooth arrival of the host's client.
• Report any new, ongoing, or potential issues and complaints to the Client Services Manager for appropriate action.
• Communicate effectively with all service partners regarding new bookings, changes to existing bookings, and cancellations.
• Provide assistance according to business needs, such as lunch cover and annual leave cover.
• Support the training of new team members, ensuring they are provided with all the information required to carry out the role.
Personal Presentation
• Maintain a professional, polite, and considerate manner at all times.
• Adhere to uniform and presentation standards as per the uniform guidelines.
Work Pattern:
- Monday - Friday
- 40 hours p/w
